How to keep client context between two sessions

Your client remembers everything she told you. When you ask in the next session whether the conflict with her team lead has eased, she feels it: you really listened. If you don’t, you start over a little every time.

The problem: context falls apart between appointments

There are often weeks between two sessions – and many other people in between. The appointment is in the calendar, the agreement in a message, the note on paper. Right before the session you gather it all again. Or you walk in with a vague feeling.

The explanation: it isn’t notes that are missing, it’s structure

Most coaches take notes. The problem is rarely quantity but findability: long transcripts are hard to skim five minutes before a session. What you need is a short, repeatable frame.

The framework: four lines after every session

Right after the session, in two minutes at most:

  • Topic: what was today about?
  • Insight: what really mattered to them?
  • Agreement: what does the person take away until next time?
  • Next contact: when will you check in – and why?

Sensitive information: less is more

Coaching conversations often touch on personal matters. The GDPR requires you to process only as much data as the purpose needs (Art. 5(1)(c)) and places health data under special protection (Art. 9). For your notes that means: record what you need for your work – and keep it general when in doubt.

The Amplexio approach

In Amplexio the four lines go straight into the client’s timeline – typed or dictated after the session. The next contact becomes a dated task. Before the next session you open the contact and see: last note, agreement, open tasks. Your data stays in the EU and is never used for AI training.

An example

Topic: returning after parental leave. Insight: fear of having fallen behind professionally. Agreement: prepare the talk with her manager. Next contact: a short message the day after that talk. – Four lines, and the next session starts exactly where the last one ended.

Checklist

  • After each session, four lines: topic, insight, agreement, next contact.
  • Add the next contact as a dated task.
  • Read the history five minutes before the session.
  • Only record what you need for your work.
  • Mark former clients as alumni and check in on occasions.

Bring calm to your coaching practice.

FAQ

How detailed should session notes be?

Short enough to read in a minute. Four clear lines help more than a page of transcript.

Can I note health topics?

Health data is specially protected under Art. 9 GDPR. Keep it as brief and general as possible and check the legal basis with your adviser when in doubt.
