Why you lose your warm contacts

Most contacts in direct sales aren’t lost to a no. They’re lost to silence. A good conversation, genuine interest – and then: nothing. Not because you didn’t care, but because the next step wasn’t written down anywhere.

The problem: the contact is everywhere – and nowhere

The number is in your phone. The conversation happened at an event. The product question came via WhatsApp. The “I’ll get back to you next week” only exists in your head. Every piece is stored somewhere – just not together.

The explanation: memory isn’t a system

In the 19th century Hermann Ebbinghaus showed that we forget new information quickly without repetition – a finding Murre and Dros confirmed in a 2015 replication. For your business that means: what you don’t write down gets blurry within days. Who was interested, what exactly was said, when you meant to follow up.

So you don’t have a CRM problem. You have a relationship memory problem.

The framework: contact – context – next step

Every warm contact needs three things, right after the conversation:

  • Contact: a name and a way to reach them.
  • Context: one sentence – what did you talk about, what matters to them?
  • Next step: what, and by when.

The Amplexio approach

In Amplexio you capture the contact on the go in seconds, keep the context in the timeline and add a dated task. The next morning, the person is in today’s priorities. And if a contact goes quiet for too long, you get a nudge – before it goes cold.

An example

At an event you meet Sarah. She asks about skincare for sensitive skin and mentions she’s on holiday next week. You note: “Sensitive skin, away until the 12th” and set a task for the 13th. On the 13th you get in touch – mentioning her holiday. That’s not chasing. That’s attention.

Checklist

  • Capture every new contact the same day.
  • Note one sentence of context per contact.
  • Give every warm contact a dated next step.
  • Check today’s priorities first thing in the morning.
  • Review dormant contacts once a week.

Run your network with a system.

Amplexio4Network keeps contacts, conversations and follow-ups in one place.

FAQ

How often should I follow up with a warm contact?

There’s no fixed rule. The occasion matters more than frequency: get in touch when you have something relevant to say – ideally agree the next step during the conversation.

Isn’t my calendar enough?

Your calendar knows when. It doesn’t know what it was about. A follow-up without context quickly feels like a cold call.
